Linn County Small Woodlands Association Board of directors meeting


Time and location: Thursday, Dec. 2, 2020, Cota-Melcher property off Upper Berlin Road


Meeting called to order at 2:30 p.m. by board President Lee Peterman


Attendance: Lee Peterman, Larry Mauter, Bonnie Marshall, Shirley Holmberg, Jim Cota, Jonathan Christie (3:30 p.m.) Tim Otis.



Old Business



Minutes of Sept. 3. meeting: Reviewed and approved without change. Tim Otis move, Bonnie Marshall second.


Treasurer’s Report: Delivered by Shirley Holmberg, summary of funds, Shirley is now on the OSWA budget committee, plan is to put out statewide budget template; OSWA to change by-laws to show chapter and main OSWA fund and budget indepedence and partner umbrella wording. Shirley recommends bylaw change to include OSWA coverage regarding dues from main OSWA group. Motion and second to review spending ideas for money in accounts at March 3, 2021 board meeting. Approved unanimously.


Seedling sale update: Bonnie Marshall reported on Feb. 6 annual seedling sale. Due to COVID there will be no “Woods Goods” element to seedling sale per OSU Extension Services rules. We will need to comply with Linn County COVID standards at time of sale. Possible to set up drive-by pickups for orders using back parking lot. We may not have official 4-H participation but likely that family units of 4-Hers will be part of volunteer corp. Updated cashier system in place. We may see some large orders because of September fires. No red alder available this year. Will need to limit volunteer group sizes and spread out in Santiam Building. Last year we had 203 pre-orders and 135 Saturday sales.


ONREF.org Thank you: Shirley received letter from ONREF thanking  LCSWA for $7,000 scholarship donation.


Membership committee: No report, Jim Merzenich will be leaving post as membership chairman


Robert Mealey Endowment: Larry Mauter reported planting site at Sunnyside Park sprayed to reduce blackberries. Jim Cota suggested early February for planting 50 5-gallon pines. Directors reviewed proofs of wording and layout of signs. County staff has OK’d language in signs.  Got three bids for sign production. OSWA’s Jeremy Felty  assisted in computer layout of signs. Still ahead are decisions about design of sign kiosk, vandalism protection and final signing of county donation agreement. 


Bark and news reports: Bark stories reviewed. Will attempt to get seedling sale news and order form in Bark and OSU’s Growing publication. Lebanon paper printed TFOY pieces. 


Activity Committee: Lee Peterman will take over that position from Mary Brendle


OSWA products: Lee Peterman gave update on material sales and orders


TFOY: Articles appeared in OSU “Growing,” Lebanon Local, OSWA newsletter and the Bark. Albany paper did not cover TFOY this year. 


New Business


4-H update: See above


Scholarship: Will advertise for Mealey scholarship candidates in March


Forest deputy: Sherm Sallee informed group that Linn Forest Deputy Brian Hardy is leaving post due to promotion. Contact until new forest deputy chosen is Sgt. Chris Houdek at 541-990-4370.


Volunteer of the Year: Lee announced choice in September, Bonnie and Lance Marshall. Story with art to be published in the Bark.


Broom Magic Tour: No update


Web site update: No updates being posted at this time. To keep site afloat need to pay for domain name and hosting service. Larry is hoping to find high school or college forestry student to run the site. Larry move, Tim Otis second to spend $115 to keep site intact. Shirley to send check to John Hood-Fysh as repayment. Approved unanimously


Z-Hall annual meeting: Annual meeting to be post card with nominations for officers and board members. Check on status of Jane Strom and Sherm Weld as board members. Larry Mauter move, Bonnie second to forward $100 donation to Z Hall in Scio to help with upkeep of annual meeting site. Motion approved unanimously.


Adjournment: Motion by Jonathan, second by Shirley to adjourn at 4:38 p.m. Unanimous.


Next meeting: Cota-Melcher barn off Upper Berlin Road. Wednesday, March 3, 2021 at 2:30 p.m.
